Finance Administrator

About the role

The Finance Administrator supports the Finance Department by providing administrative and financial assistance, primarily for the Accounts Payable and Credit functions. The role ensures accurate financial records, processes payments, and helps resolve vendor and customer matters in a timely manner.

Key responsibilities

• Verify, copy, record, and post vendor documents for the A/P team.
• Organize departmental files and storage boxes.
• Assist the Finance Manager with document sorting and follow‑up tasks.
• Reconcile vendor accounts and support overflow duties such as photocopying and balance verification.
• Download, organize, and email invoice copies to customers for the Credit department.
• Process credit‑card payments and send payment confirmations.
• Manage daily deposit slips in Excel and reconcile them to monthly billing.
• Audit and verify monthly billings and maintain vendor rebate records in Smartsheet.
• Support Credit Analysts with invoice, statement, and credit processing.
• Provide additional assistance to the CFO finance team as needed.

Required profile

• Associate’s degree in Business Administration, Accounting, Finance or related field preferred.
• 1–2 years of experience in finance, accounting, accounts payable, credit or general office administration preferred.
• Working knowledge of Microsoft Office, especially Excel and Word.
• Basic understanding of accounts payable, accounts receivable, invoicing, payments and account reconciliation.
• Strong attention to detail, numerical accuracy and organizational skills.
• Excellent written and verbal communication with customers, vendors and internal colleagues.
• Ability to handle confidential financial information with discretion.
