Vacation Services Coordinator

About the role

The Vacation Services Coordinator supports the vacation sales and marketing teams by handling inbound and outbound calls, managing tour bookings, and ensuring accurate tracking of sales activities.

Key responsibilities

• Answer all inbound calls promptly using scripted introductions and dispatch long‑distance calls professionally.
• Track and log all calls accurately and audit daily manifests to keep trip tickets and gift codes up‑to‑date.
• Create and manage the daily sales rotation, applying Power, Gold‑Boxing and restacking rules to allocate tours fairly.
• Book tours generated from the In‑House Integration system into the Sun DG system and conduct wake‑up, reminder and no‑show calls according to approved scripts.
• Issue, monitor and track marketing and sales incentives, and update mini‑previews in the Guest Tracking system.
• Prepare and distribute daily reports, manual tracking sheets and other performance reports to Marketing and Sales Management.
• Assist with the implementation of new marketing and sales initiatives and provide administrative support as needed.
• Audit in‑house manifest and guest reward tracking sheets daily to ensure tours are correctly gifted and classified.

Required profile

• Post‑high‑school education preferred; strong intermediate computer skills with focus on Microsoft Office applications.
• Proven customer‑service abilities, including handling difficult or emotional situations and responding promptly to guest needs.
• Demonstrated work standards such as accuracy, thoroughness, and a continuous improvement mindset.
• Ability to work effectively in a team, share expertise, and give and receive constructive feedback.
• Sound judgment and decision‑making skills, with adaptability to changing processes and environments.
