Purchasing Clerk

About the role

Baker's Bay Golf & Ocean Club is looking for a Purchasing Clerk to join its Purchasing & Logistics Department. The role involves sourcing and purchasing supplies, goods, and equipment for all departments while coordinating with vendors and freight companies to ensure timely delivery.

Key responsibilities

• Manage vendor relationships for Culinary and F&B partners, track performance and flag inconsistencies.
• Secure purchasing documents, follow up with internal teams and external partners, and ensure processes are followed to reduce errors.
• Support invoice reconciliation for shipping and maintain communication between departments and shipping timelines.
• Make approved purchases and reconcile monthly spending in coordination with the COO's Executive Assistant.
• Thoroughly reconcile vendor statements and ensure alignment with accounting.
• Track invoices requiring amendment or not yet reconciled by AP Finance, assigning them to correct GL codes.
• Assist with training new teammates on purchasing processes and record systems.
• Coordinate third‑party logistics and direct shipping companies to established vendors.
• Maintain accurate files for permits, packing slips, and invoices related to Purchasing & Logistics.

Required profile

• High school diploma (required).
• Prior experience in warehousing, distribution, receiving, or warehouse transportation (a plus).
• Self‑starter attitude with initiative.
• Excellent written and verbal communication skills.
• Strong networking abilities.
• Valid Health Certificate.
